Sales Assistant/SalesForce™ CRM Administrator

Responsibility:
- SalesForce™ CRM Administrator
- Ensure data is entered, retrieve reports, monitor trends, continue to develop the relevant elements and links in the CRM system.
- Develop the Tecflower specific user handbook for Tecflower users
- Act as 1st level user support
- Collection of upgrade needs
- Install and retrieve standard reports from SalesForce (contract status reports, sales pipeline reports, activity reports, margin reports, retroactive as well as forward looking)
- Develop and maintain relevant templates (call/visits reports, letters, presentations, offers, order confirmation, invoices, standard terms & conditions)
- Check document management system (offer, contracts, call reports, account plans)
- Develop a Global Product Code System (=each product version has a unique code, each source has a unique code, each customer has a unique code)
- Follow up of technical and content quality issues
- Support the Commercial Director
- Travel/appointments arrangements
- Travel Expense reports
- Reports & presentations
- Market research (customers, contacts, competitors)
- Maintain overview on the Tecflower team calender (absence/vacation days, team meetings)
- Selected order-to-cash activitites:
- draft offer letters and contracts
- collect the demand forecast from Sales and deliver to Manufacturing Director
- contact for manufacturing in case of production rescheduling
- contact for logistics in case of logistics rescheduling
- Subject Matter Expert on custom regulations, VAT etc.
Goals/Measurement of Success for 2017:
- Tecflower team level of happiness with the support
- Contact-to-order and order-to-cash process is well documented in the SalesForce™ system by Q4, 2017
- Established as SalesForce™ Subject Matter Expert
- Tecflower specific SalesForce™ user handbook is in place Q4, 2017
- Ongoing update and maintenance of the SalesForce™ content
- Standard reports from SalesForce™ (contract status reports, sales pipeline reports, activity reports, margin reports, retroactive as well as forward looking) are active by Q4, 2017
- Document management system (offer, contracts, call reports, account plans) is established in SalesForce™
- Global Product Code System (=each product version has a unique code, each source has a unique code, each customer has a unique code) is in place by end of the year 2017
Skills & Personal traits of the candidate
- Fluency in Swiss German/German and in English
- Experience in working with databases
- Several years of professional experience in an office environment
- Can work with and through other people (is positive, communicative, friendly, persuasive)
- Likes to develop standard operating procedures (is accurate, careful, systematic).
- Thinks ahead, is flexible to adapt to the ever-changing needs in a young business.
